Push Requests — Generating Push Requests

Once student, parent, and timetable data has been imported, the system can automatically build the push request list. Generation creates one push request entry for every student/teacher combination in the selected year levels.

Before you generate

Confirm that the import has been completed successfully and that the data reflects the current timetable. If timetable changes have occurred since the last import, re-run the import first.

Running the generation

  1. Open the booking round and select Push Requests (row #20).
  2. Click Generate push requests. The generation dialog opens.
    • The “Generate push requests” button will be below the table, or it is available in the menu in the top right corner of the table.

  1. Select the Interview type:
    • Regular parent/teacher interviews — creates one push request for each subject teacher the student is enrolled with. Use this for standard interview rounds.
    • SET Plan interviews — creates one push request for the student’s roll class teacher only. Use this for SET Plan review rounds.  Using the form teacher as a default entry for each student ensures that every student has an assigned staff member.  These allocations can quickly be adjusted within the application, this will be explained later.
  2. Select the year levels to include. The toggles default to the year levels configured for the booking round. Turn individual year levels on or off as required.
  3. Click Generate push requests.

What the generation does

For each student in the selected year levels the system:

  • Looks up all class enrolments for that student
  • Matches each enrolment to a teacher via the timetable data
  • Creates a push request entry (student + teacher combination)

For SET Plan rounds, only the student’s roll class teacher is included.

Re-running the generation

Generation can be run again at any time — for example, after a timetable change, after re-importing updated data, or to add an additional year level.

When you re-run, you are given the option to:

  • Keep existing entries and fill in gaps — adds new student/teacher combinations without removing entries that already exist, including any that have already been sent or booked.
  • Replace all — removes the existing list and regenerates from scratch. Use with caution if invitations have already been sent.

After generation

The push request list is displayed. Review the list before sending — you can:

  • Add individual students who were not included automatically
  • Edit a student’s contact details
  • Skip a particular teacher/student meeting that is not required
  • Replace a teacher across the entire list if a staff change has occurred

Replacing teachers for Subject Selection Interviews

From the list of generated push requests you will see a “Replace” icon next to “Teacher” in the table header.  Clicking this button will popup a dialog asking for a specific teacher selection.  When selecting the table will be redisplayed in “Teacher Replace Mode”.  The button next to “Teacher” in the table header is now used to terminate “Teacher Replace Mode”.

While in “Teacher Replace Mode” the “Replace” icon is displayed next to the teacher for each push request.   When you click the “Replace” icon the teacher for this push request will be automatically replaced with the teacher you selected when entering this mode.  This is the quickest method of re-allocating selected students to a specific staff member.

Next steps

When you are satisfied with the list, proceed to send the invitations. See Sending Push Requests for full details.
