Push Requests — Sending and Resending
Once your push request list has been reviewed, you are ready to send invitations to parents.
Send operations and contact rotation
Each parent in the system may have more than one contact method — for example, a primary email, a second parent’s email, or a mobile number. The system uses a numbered send operation to control which contact is used on each bulk send.
- Send operation 1 — sends to each student’s first available contact (usually the primary parent email)
- Send operation 2 — sends to the second available contact for each student
- Send operation 3 — sends to the third, and so on
If a student has fewer contacts than the selected operation number, the system wraps around to the beginning of their contact list.
When you open the Send dialog, the system defaults to the next operation in sequence (i.e. if you last sent operation 1, it will suggest operation 2). You can also select an earlier operation number if you want to re-contact the same recipients.
Students who have already confirmed a booking are automatically skipped regardless of which operation you select.
Bulk send options
Bulk send options are available from the action menu at the top right of the push request list.
Available options include:
- Send all unsent — sends invitations only to students who have not yet received one. Use this for the initial send.
- Resend to unbooked — sends again to all students who received an invitation but have not yet made a booking. This uses the same contact as their last send (it does not advance the operation number).
For each student we construct a list of contacts, typically these will be the email addresses for each parent, the preferred parent being listed first. Parent who do not with to receive correspondence will not be included in the list of contacts.
The first time we send the push request we will select the first contact from the list, typically this will be the email address of the first or preferred parent. The second time you can opt to send this to the second contact on the list, etc. If there is no second contact we will loop around and use the first contact again.
For booking rounds like Subject Selection Interviews we recommend sending them every two days. By default we will only send to parents who haven’t booked.
Sending an invitation to a single parent
- Locate the student in the push request list.
- Open their action menu (far right of the table row), and select Send.
- Select the contact to send to and click Send.
The invitation is dispatched immediately. The row in the list updates to show the send date and time.
Resending an invitation
If a parent has not yet made a booking, you can resend their invitation.
- Locate the student in the list. If an invitation has already been sent, the row shows the send date.
- Click Resend.
- Select the contact address and click Send.
The send dialog also shows the full send history for that student — including when each invitation was sent, which contact address was used, and whether the parent has clicked the link.
Checking send and booking status
The push request list shows the current status of each entry:

What parents receive
When invitations are sent after pre-booking, each parent’s email shows their pre-assigned appointment time(s) along with a Confirm my bookings button and a separate Unable to attend link.
- Clicking Confirm my bookings locks in the pre-assigned slot. The status in the push request list updates to Booked and the slot is marked as taken in the booking round.
- Clicking Unable to attend releases the pre-booked slot (making it available for other parents) and marks the meeting as Skipped. The parent is shown a message advising them to contact the school if they change their mind.
Parents who do not respond can be followed up using the normal resend process — the pre-booking status is preserved until they either confirm or are resent a new invitation.
Maintenance List
From the action menu (top right of the table) select View maintenance list. This will display a list of changes made to contacts during this booking round. This can be very useful for updating your SMS after the booking round is complete. For example, it could be typing errors on email address, or changes of email addresses, etc.
