Archiving and restoring old booking rounds

Overview

Once an interview round is finished it can be archived to keep your Booking rounds list tidy without losing any data. Archived rounds and all of their bookings
remain in SOBS — they are simply hidden from the main list and can be restored at any time.

Archiving is useful at the end of a term or year when you no longer need to see older rounds alongside your current ones.

Who can archive and restore

Only staff with permission to manage booking rounds can archive a round or restore one from the archive. If you can edit a round’s settings you can also archive it.

Archiving a round

  1. From the staff menu choose Booking rounds.
  2. Find the round you want to archive in the list.
  3. Open the actions menu for that round and choose Archive round.

The round disappears from the Booking rounds list immediately. None of the underlying data is deleted — bookings, slots, parent details and reports are all
preserved.

Viewing archived rounds

As soon as a school has at least one archived round, an Archive entry appears in the left-hand staff menu. Choose it to see the Archived Booking
Rounds
list with the description and dates of each round.

If the Archive menu entry is not visible it simply means there are no archived rounds for this school.

Restoring an archived round

  1. From the staff menu choose Archive.
  2. Find the round you want to bring back.
  3. Open the actions menu for that round and choose Restore round.

The round is moved back to the main Booking rounds list and is once again available for staff to open and report on.

What archiving does not do

  • It does not delete any bookings, parents, students, slots or messages.
  • It does not change permissions on the round.
  • It is not a way to lock a round — if you restore it later, any actions that were available before are available again.

If you need to permanently remove a round you must delete it from the Booking rounds list instead.
