Enrolment – dealing with abandoned applications

Aug 26, 2026

Some families start an online enrolment application and never finish it — they may have changed their mind, they may not have met the eligibility requirements, they may have started again using their email instead of their mobile number, or they may simply have been interrupted and forgotten to return. This feature automatically follows up on those applications, and tidies up the ones that are never completed.

Overview

Every enrolment application that has not yet been submitted is watched for activity. If a family has not touched their application for a while, they are sent a reminder. If they still do not respond, the application is archived automatically — but never permanently lost.

How the timing works

  • The clock only starts once the eligibility round has actually opened for submission. A family who begins filling in details ahead of time — for example while waiting for a waitlist round to open — will not receive a reminder before that date, no matter how long they have left the application untouched.
  • Once the round is open, 7 days with no activity triggers a reminder to the family.
  • If a further 7 days pass with no response to that reminder, the application is archived automatically.

Any visit to the application — logging back in, opening the list of applications, or continuing to fill in details — resets this clock, so an active family will never be reminded or archived.

What the parent or carer receives

The reminder is sent by email, or by SMS if no email address is on file.

It includes three options, none of which require logging in:

  • Submit this application — takes them straight back to their list of applications so they can pick up where they left off.
  • Retain for a month — lets them know they are not ready yet; this pauses reminders for 30 days without changing anything else about the application.
  • Delete this application — removes the application immediately, for a family who has decided not to proceed.

If an application has already been archived by the time a family clicks one of these links — or simply returns to it later of their own accord — it is automatically restored so they can continue, rather than leaving them locked out of their own application.

What operators can expect

This runs automatically overnight; there is nothing to configure or run manually. An archived application is not deleted from the system — it moves alongside withdrawn, cancelled, and manually deleted applications, where it can be reviewed and restored at any time using the normal Undelete action.

Only applications that have not yet been submitted are ever affected. Once a family has submitted their application, this process no longer applies to it.

Privacy and communication

Reminders are only ever sent to the contact already on file for that application. No reminder is sent to a school whose enrolment subscription is not current, even if the application data itself remains on file.
